Since 25-5-2018, new Regulation (EU) 2016/679, on the protection of personal data, has been implemented, aiming at strengthening this protection in all EU Member States.

Technological progress and globalization have resulted in new challenges with regard to the protection of personal data. Personal data is a part of individuals’ everyday life, as they contribute to it or because they are necessary for the commercial and operational activity of companies, as well as of the economy as a whole. However, the protection of individuals with regard to the processing of their personal data is a fundamental right for every individual and must therefore have full control and access to them.

Α. ABOUT US

The protection of personal data is a basic principle in our company and a factor of trust for our employees, customers and suppliers.

One Pharma develops, produces and exports pharmaceutical products and is one of the fastest growing pharmaceutical manufacturing industries in Greece. It was founded in Athens in 1991 as a commercial pharmaceutical company under the firm “Pharmanel”.

One Pharma is active in the markets of Europe, Canada, the Middle East, Asia and the Commonwealth of Independent States (CIS). It is certified under ISO 9001-2008 and EU-GMP for quality, safety and environmental protection.

Our company, respecting the new Regulation and your personal data, is immediately implementing it. In this context, we shall inform you of the key points of the relevant legislation in order to continue our cooperation.

B. DATA COLLECTION

As part of our collaboration, we collect and process personal data in order to better organize our relations, service and information. Typical examples of Information – Data that we may collect are the following: name, surname, father’s name, job, gender, VAT number, identity card number, date and place of birth, e-mail, telephone, etc.

In any case, we collect data only with your consent. Additionally, we do not transfer and transmit them to third parties without your prior permission. However, it is quite possible that we transfer them to third parties or bodies in order to avoid any malfunctions during carrying out the cooperation between us.

C. USE OF DATA

Your personal data are collected and used for specific and specifically stated purposes only. Particularly:

  1. If it is necessary to prepare and perform a contract to which you are a party
  2. If we have a legitimate interest in doing so
  3. In order to be informed about our new plans and actions.

D. DATA RETENTION POLICY

We retain your personal information for as long as it is necessary to meet and fulfill the above-mentioned purposes.

As a matter of principle, these elements will be retained throughout the duration and until termination of our contract / co-operation and for the period required by law for tax purposes. So after that, we delete them. We will exceptionally continue to process personal data after this termination. In particular:

  1. For statistical purposes
  2. Information necessary to meet our statutory obligations
  3. Data necessary for the exercise of our legal claims

E. YOUR RIGHTS

Under the new Regulation, extended rights are granted for and established as far as your personal data are concerned.

  1. Right of access: You have the potential to get informed about the collection and processing of your personal data by our company, as well as the right to receive a copy thereof.
  2. Right of Correction: You have the right to update and correct potential mistakes about your personal data
  3. Deletion Right: You can request the removal of your data from our company. Exceptionally, we may deny deletion in accordance with applicable law.
  4. Right to limit processing: You have the right to request a limitation in your personal data processing by our company
  5. Right to portability: You have the right to receive, in a structured, widely used and mechanically readable form, your personal data you have provided to us.
  6. Right of objection: You have the right to oppose the processing of your data for specific purposes, e.g. commercial, advertising, and statistical.

Information on the processing of personal data through a video surveillance system

  1. Controller:

  1. Purpose of processing and legal basis:

We use a surveillance system for the purpose of protecting persons and property. Processing is necessary for the purposes of the legitimate interests we pursue as data controller (Article 6(1)(b) of Regulation (EC) No 1.  f GDPR).

  1. Analysis of legal interests:

Our legitimate interest is the need to protect our area and the goods found in it from illegal acts, such as theft. The same applies to the safety of life, physical integrity, health and property of our staff and third parties legally located in the supervised area. We only collect image data and restrict downloading to areas where we have assessed that there is an increased likelihood of committing illegal acts e.g. theft, such as at our cash registers and entrance, without focusing on places where the privacy of the persons whose photograph is taken may be excessively restricted, including their right to respect for personal data.

  1. Recipients:

The material in storage is only accessible by our competent/ authorized personnel in charge of the security of the area. This material shall not be transmitted to third parties, except in the following cases: (a) to the competent judicial, prosecutorial and police authorities where it contains information necessary for the investigation of a criminal offence involving persons or goods of the controller, (b) to the competent judicial, prosecutorial and police authorities when requesting data, lawfully, in the performance of their duties, and (c) to the victim or perpetrator of an offence, in the case of data which may constitute evidence of the act.

  1. Keeping time:

We keep the data for seven (7) days, after which they are automatically deleted. In the event that we find an incident during this time, we isolate part of the video and keep it for up to one (1) month, in order to investigate the incident and initiate legal proceedings to defend our legal interests, while if the incident concerns a third party we will observe the video for up to three (3) more months.

  1. Rights of data subjects:

Data subjects have the following permissions:

  • Right of access: you have the right to know if we are editing your photograph and, if applicable, to obtain a copy of it.
  • Right of limitation: you have the right to ask us to restrict processing, such as not to delete data that you consider necessary to establish, exercise or support legal claims.
  • Right to object: you have the right to object to processing.
  • Right to delete: you have the right to request that we delete your data.

You can exercise your rights by sending an e-mail to onepharma@prostasiadedomenon.gr or a letter to our postal address or by submitting the request to us in person at the address of the company. To review a request related to your photograph, you should tell us when or not you were in camera range and give us an photograph of yourself to make it easier for us to locate your own data and hide the data of third parties depicted. Alternatively, can visit our facilities to show you the photograph you appear in. We also note that the exercise of the rights of objection or deletion does not entail the immediate deletion of data or the modification of the processing. In any case, we will reply you in detail as soon as possible, within the deadlines set by GDPR.

  1. Right to lodge a complaint:

If you consider that the processing of your data violates Regulation (EU) 2016/679, you have the right to file a complaint to a supervisory authority.
